when a flow template is launched, the system asks for the variables required to define the particular instance in hand, e.g. for payment of an invoice: Who is the invoice from, what is the amount, ...  it then creates a chat channel for that instance into which it includes everyone who participates in this process.  this way everyone knows what has been done and where everything stands.
